The SRMA Board met on 19 July 2002 in the Dean’s Conference Center at DU-Penrose Library at 9:30 a.m.
Members present: Kevin Anderson, Marge Benham, Bridget Burke, Steve Fisher, Leah Davis Witherow, Ginny Kilander, Rebecca Lintz, Brent Wagner, and Karen Zoltenko.
2002 Fall Meeting will occur from 0900 until 1500 on Friday 04 October in Denver at the Grant-Humphries Mansion. “Advocating Archives” is the working theme. The idea is to devote more attention to the “smaller guys” (e.g., not DPL, not CHS) by hosting discussion about challenges of beginning a new archive. Highlights will include facets pertaining to NAROPA, AARL, Pikes Peak, and the Cable Center.
The registration fee (~$30) will cover a simple (sandwich/vegetable tray) lunch. Discussion with caterer is in the works.
Concern expressed by Board over parking and relatively small size of the mansion.
An e-mail save-the-date reminder message will go out shortly to SRMA members.
Board should expect to arrive early and depart late for set-up and cleaning purposes. (The Mansion waived its fee, thus SRMA will police its own.)
2003 Spring Meeting will take place on Western Slope. Possible locations include Durango, Grand Junction, and Gunnison. Goal is to fuel the proceedings based on a survey that SRMA members will complete. (Survey topic = “what can SRMA do for me?”)
Treasurer opening: Kevin cannot perform two Board jobs concurrently, as per the by-laws. The Board shall look for a replacement by the fall meeting as he assumes his Vice President/President-elect role. The replacement will occupy the Treasurer position ad hoc until scheduled voting for this slot at the spring meeting.
Webmaster: Bridget moved to name Mark Shelstad as the Web Guru – a new voting member of the SRMA Board. Motion seconded by Karen Zoltenko and passed unanimously.
Archives 101 Bootcamp will run from October 23-25 at Red Rocks Community College or Front Range Community College. CCLS (Central Colorado Library Service) is running the session. Question posited: can SRMA be listed as a joint sponsor (and, thus, generate more membership)?
Long-Range Planning: Steve and Leah will determine status of the Colorado and Wyoming Archival Repository Directory.
Leah hopes to create a brief (one-page) survey for SRMA members to complete re: what-do-you-expect-from-SRMA/how-can-SRMA-help-you? Board members should send questions/ideas to Leah via e-mail. Board will approve Leah’s draft and distribute to members via e-mail, newsletter, and website.
Steve and Kevin must compile a Policies and Procedures Manual, as per the SRMA Long Range Plan of 2000 (Section V, 8). Manual completion date goal is by 2003 spring meeting.
Potential merger: The CIMA (Conference of Intermountain Archivists) covers NV, UT, ID, and MT. CIMA asked SRMA if it is willing to join forces. John Newman will serve as a liaison with one member of CIMA to investigate the concept. At this juncture, the mission is nothing more than fact-finding.
Membership Report: places SRMA members at 173. By publishing something quickly for the fall meeting and the Archives 101 Bootcamp, SRMA membership should grow. Also, placing a link from the SAA and MAC websites to the SRMA site should increase awareness.
Treasurer’s Report: Current (July 18, 2002) figures show $5093.90 as the balance with an additional $364.94 in a special account. Agreement that this smaller account should be merged with SRMA’s general fund in order to avoid bank fees.
Next Board meeting will be a brief one October 4 and the next formal meeting will be decided upon at this time.
