October 10, 2003 Board Meeting

The SRMA Board met on October 10, 2003 outside the Fort Morgan Museum following the Fall 2003 SRMA conference.

Members present: Kevin Anderson, Bridget Burke, Nancy Freeman, Holly Geist, Ginny Kilander, Donna McCrea

Secretary’s Report: Secretary’s report from July 18, 2003 accepted.

Treasurer’s Report: The SRMA account has a balance of $5720.24 as of September 30, 2003.

Potential merger: No further information is available at this time about the potential merger with CPA.

Membership: The Board again discussed increasing SRMA membership fees. Donna offered to survey the membership dues of other regional archival organizations. It is likely that the SRMA board will put a dues increase to a vote at the next SRMA business meeting (June 2004). Amount of proposed increase will be determined at the winter board meeting. As per the SRMA by-laws, membership is from January 1 – December 31. This will be stated on renewal forms.
2003 Fall conference: A brief discussion about the conference just attended. Only a handful of participant feedback forms were received. Holly will send out the form electronically to members. It was agreed to revise the form before the next conference. Agreed we would like to continue to have the option of bringing in paid speakers.

2004 Spring conference: The spring conference will be held June 3 & 4 at the American Heritage Center in Laramie. Ginny has agreed to serve as the local contact for the AHC. Program outline: afternoon of June 3rd, AHC Rare Books Curator Anne Marie Lane will give a workshop. Workshop fee will be $35 and there may need to be a participation limit. (If limit is necessary a registration cut-off date will be determined and SRMA members will have priority.) June 4 conference itinerary includes a morning business meeting, two morning speakers, lunch, niche collections update and an afternoon tour of the AHC. Tentative conference topic is Management of resources (people, money, materials.) June 4 conference fee will likely be $40-$45 (depending on expenses) for SRMA members, slightly higher for non-members. SRMA will again offer a scholarship to the Spring workshop and to the conference.

2004 Fall conference: May be possible to have the conference at the Alpine Center in Golden, Colorado. Bridget will look into this.

2005 Spring conference: Mark Shelstad is serving as SRMAs contact person for the 2005 Spring conference in Las Vegas. No action is needed by the board at this time.

Conference fee waiver: It was agreed that a conference fee waiver for one person would be issued to the institution that hosts a meeting.

Conference brochure: Initial review indicates that the brochure about the fall conference, with a targeted mailing, attracted several non-SRMA/CPA members. It was agreed to do a similar mailing (as a brochure or postcard) for the Laramie conference. It was also agreed that an announcement would be sent electronically as appropriate.

Occasional papers and student participation: It was agreed to table this discussion until the next meeting.

Archives week: A SRMA member has approached Kevin about SRMA being more actively involved in promoting our profession and activities during Archives Week. The board is interested and will invite anyone with ideas about how we can participate in Archives Week to attend a future board meeting.

Next Board meeting will occur in December. Time and location have not yet been determined.
