The SRMA Board met on 10 November 2005 at the National Wildlife Research Center in Fort Collins, Colorado at 1300.
Members present: Shaun Boyd (conference call), Nancy Freeman, Jody Georgeson, Allaina Howard, Monte Kniffen, Diane Lunde, Patty Rettig, D.C. Thompson, and Brent Wagner (cc).
Secretary's Report: Minutes from 21 July 2005 Denver meeting accepted.
Treasurer's Report: Report detailing expenditures from July-October 2005 accepted. SRMA budget balance stands at $18,228.70.
Joint SRMA/ARMA Conference Report: Overall, positively received - based on evaluations. Effort netted about $250 total. Seventy-three people attended sessions each day. Ten vendors participated. Not all numbers factored, yet.
President's Stork News: Due to FLMA, Nancy will step down as President from mid-January to mid-April 2006. Jody Georgeson will assume her duties.
Spring Conference: Theme is not set in stone, but Leslie Shores (AHC) and Paul Eisloeffel (Nebraska Historical Society) will speak about photographs, sound recordings, and moving images. Conference will occur in Pueblo at the Bessemer Historical Society on 02 June 2005.
Vendor Relations: SRMA earned $544.40 from various vendors in 2005. In an effort to be equitable, Nancy (coordinating with Newsletter Editor) will speak with appropriate representatives to determine 2006 renewals, page sizes, and rates for ads.
Preservation Report: Diane recommended the following revisions for SRMA's preservation kits - locate them in one place, retire the paper treatment model, upgrade the environmental monitoring system (by allocating $500 to do so), replace older version of the photographs kit, increase postage-paid rate from $35 to $50 for borrowers, and advertise this service more by placing a blurb in every newsletter and creating an online checkout form on the SRMA website.
Board accepted all of these motions and those that appear specifically in "Report on the Preservation Study Kits to the SRMA Board from Diane Lunde, November 9, 2005."
Web Site Update: New version went live on 31 October 2005. Final cost for consultant = $430. From August to October, hits went from 6,000 to 14,000. Patty will procure gold CDs for the purpose of acquiring snapshots of the site for Becky and the SRMA's archives. Shaun will give Yahoo! Newsgroup text to Patty for web site
Archives Month Report: Thanks to CHRAB, DU, and Douglas County donations, Jody indicated that expenditures fell under budget projections. As for lower-than-expected turnout, Jody submitted recommendations on how to improve participation for the 2006 effort. Board accepted these proposals that call for appealing to CAL and larger institutions for support, inviting press to an awards banquet, and appointing a non-voting ad hoc SRMA member for two years to lead Archives Month.
Emporia Collaboration: Due to flux at Emporia and fear of replicating other similar educational efforts (Western Archives Institute, for instance), the Board voted to disband the ad hoc exploratory committee. However, Shaun will pursue other educational opportunities, such as supporting Archives 202 - a CAL proposal.
CIMA/SRMA: Motion made and approved for Nancy to speak with CIMA President Walter Jones about partnering for a joint conference in 2007.
Long Range Plan: Board appointed Jody, Brent, D.C., Diane (and maybe Molly Davis) to begin the revision process for SRMA's long range plans. Last update occurred in 1996.
Work will commence in January and the ad hoc group intends to have published its product on the SRMA web site by June 2006.
SRMA Archives: Nancy will complete the retention schedule and submit it to Becky by 01 January 2006. Becky will process the collection that includes CPA's Archives, by 2007.
Membership Report: SRMA has 155 members, 67 of them that participate in the Yahoo! Group. Shaun will send December membership renewal reminders by e-mail and attempt to reach stragglers by snail mail in early-2006. Members as of 01 March 2006 will receive the member directory.
In an effort to reach more potential members, Shaun will forward flyers to SRMA Board Members before they attend conferences/workshops.
The meeting adjourned at 1500. The next meeting will take place in March 2006.
